[Hiring] Part-time Virtual Assistant/Appointment Setter @WizeTalent

Role Description

We are looking for a reliable, well-organised Virtual Assistant / Appointment Setter to manage appointments and scheduling for clients. This is a part-time position ideal for someone who wants meaningful, flexible work that fits around other commitments.

You'll essentially act as Samee (Samantha Regalado, our WizeGrowth & Advisory Success Specialist), with inbox and calendar access to manage meetings and communicate with clients on her behalf. Keeping every interaction professional, prompt, and personable.

Qualifications

  • Tech-savvy, with confident, hands-on experience using Microsoft Teams and Outlook
  • Excellent written and spoken English, with strong communication skills
  • Good interpersonal skills and a warm, professional client-facing manner
  • Highly organised, reliable and punctual
  • Comfortable working independently in a remote, part-time capacity
  • Prior experience as a receptionist, scheduler, or virtual assistant is a plus

Requirements

  • Coordinate and book appointments for clients via Outlook and Zoom, avoiding scheduling conflicts
  • Confirm, reschedule, and follow up on appointments promptly
  • Send appointment reminders and confirmations to clients
  • Flag any scheduling issues or conflicts to Samee proactively
  • Handle client scheduling queries with prompt, professional responses
  • Communicate with clients via Microsoft Teams, email, and/or phone with a professional, friendly tone
  • Help prepare agendas, links, and materials, and follow up to ensure clients are ready ahead of meetings
  • Save, organise, and file meeting recordings and notes after each session
  • Keep client records clean, accurate, and up to date, flagging any gaps to Samee
  • Manage onboarding admin tasks and flag missing info or outstanding items to Samee
  • Track outstanding client tasks and escalate anything needing Samee's attention
  • Assist Samee with ad-hoc tasks as needed
