Position: Receptionist & Clinic Coordinator

This is a full-time, long-term Receptionist & Clinic Coordinator position .

1. Saturday availability is mandatory

This position requires availability Tuesday to Saturday . Saturdays are a regular part of the schedule and are not optional.

2. Minimum 3 years of relevant front desk/admin experience is required

You must have at least 3 years of professional experience in reception, front desk, office administration, scheduling, clinic administration, dental administration, medical office administration, medical aesthetics, spa, wellness, or a similar client-care role.

3. This is a long-term administrative role

We are looking for someone who wants a stable, long-term position and is genuinely interested in reception, scheduling, client communication, payments, follow-ups, records, and daily clinic coordination.

4. This role is not a pathway into another department

This position is not intended to develop into an aesthetician, laser technician, treatment provider, marketing, social media, or sales-only role.

5. Full posted schedule must be manageable on an ongoing basis

You must be able to commit to the full Tuesday to Saturday schedule consistently, with no recurring scheduling conflicts.

6. Work authorization is required

You must be legally authorized to work in Canada for this position without employer sponsorship, now or in the future.

About Arion Skin Laser

Arion Skin Laser is an advanced skin care and laser clinic in Vancouver offering treatments for laser hair removal, skin rejuvenation, pigmentation, acne scarring, skin tightening, body contouring, cellulite, and wellness concerns.

We are looking for an experienced, professional, reliable, and highly organized Receptionist & Clinic Coordinator to join our team in a full-time, long-term role.

This is not an entry-level position. We are looking for someone with previous front desk, reception, office administration, scheduling, or clinic administration experience. Experience in a medical clinic, medical aesthetics clinic, dental clinic, spa, wellness clinic, or similar client-focused environment is strongly preferred.

About the Role The receptionist is one of the most important roles in our clinic. You are often the first and last person a client interacts with, so the client experience must feel warm, calm, professional, organized, and thoughtful.

This role involves answering calls and emails, booking appointments, supporting the daily schedule, processing payments, preparing client information, sending forms and instructions, following up with clients, and helping the clinic run smoothly.

We are looking for someone who enjoys detailed administrative work, takes pride in excellent client care, and can stay organized in a busy clinic environment.

Main Responsibilities

  • Answer phone calls, emails, website inquiries, and text messages professionally
  • Greet clients warmly and create a welcoming, professional client experience
  • Book consultations and treatments accurately
  • Review the daily and next-day schedule to make sure appointments are properly prepared
  • Send appointment information, forms, pre-care instructions, post-care instructions, and follow-up messages
  • Collect payments and deposits when required
  • Keep client notes and appointment details accurate
  • Track prepaid treatments, balances, packages, and client follow-ups
  • Support providers with general clinic coordination and client preparation
  • Keep the reception area calm, clean, and organized
  • Help maintain a smooth daily clinic flow
Attention to Detail This role requires strong attention to detail. Small mistakes can affect the client experience, appointment flow, payments, treatment preparation, and provider schedule.

The right candidate should naturally double-check their work and take accuracy seriously, especially with appointment times, client information, treatment details, pricing, payments, forms, notes, follow-ups, and schedule preparation.

Required Qualifications

  • Professional phone manner
  • Strong attention to detail
  • Reliable attendance and punctuality
  • Full-time availability Tuesday to Saturday
  • Saturday availability is mandatory

Schedule Tuesday to Friday: 10:00 AM to 6:00 PM

Saturday: 10:00 AM to 5:00 PM

This is a full-time position. Saturday availability is required.
