Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support - Full/Part-time

Job Overview

We are seeking a highly organized and detail-oriented Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support to join our team in a dynamic, fast-paced environment. This full-time or part-time role offers an excellent opportunity for individuals interested in gaining comprehensive administrative experience, supporting client relations, and contributing to the smooth operation of our organization. The ideal candidate will possess strong clerical skills, proficiency with office software, and excellent communication abilities to provide exceptional support across multiple functions.

Duties

  • Manage and maintain schedules using Microsoft Outlook Calendar and Google Workspace to coordinate meetings, appointments, and deadlines
  • Handle data entry tasks accurately using Microsoft Office, Google Workspace, and DocuSign for document signing and management
  • Provide front desk support including greeting visitors, answering multi-line phone systems, and managing incoming calls with professional phone etiquette
  • Assist with bookkeeping responsibilities utilizing QuickBooks and perform basic bookkeeping tasks such as invoicing and expense tracking
  • Support client communications through email correspondence, proofreading documents, and ensuring clear and professional messaging
  • Organize files both electronically and physically through filing systems to ensure easy retrieval of information
  • Assist with program coordination by supporting project documentation, tracking progress, and preparing reports as needed
  • Perform clerical duties including photocopying, faxing, scanning, and maintaining office supplies to ensure operational efficiency
  • Support team members with administrative tasks such as proofreading documents, managing office supplies, and organizing meetings
Requirements
  • Prior office experience or clerical experience is preferred but not mandatory; strong organizational skills are essential
  • Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with Microsoft Outlook Calendar is required
  • Experience with QuickBooks for bookkeeping tasks is a plus
  • Excellent typing skills and attention to detail for data entry and proofreading tasks
  • Strong customer service skills with professional phone etiquette for handling inquiries via multi-line phone systems
  • Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining accuracy
  • Familiarity with office equipment such as printers, scanners, and fax machines is desirable
  • Ability to work independently as well as part of a team with a proactive attitude toward problem-solving and organization

Pay: $45,000.00-$65,000.00 per year
