The Role

We are seeking an experienced Senior Scheduling Specialist to lead scheduling, planning, schedule development, progress monitoring, forecasting, critical-path analysis, and schedule-performance management across complex projects and programs.

The ideal candidate will develop and maintain integrated schedules, coordinate inputs from multiple stakeholders, identify schedule risks and dependencies, analyze delays and variances, and provide management with reliable forecasts and actionable recommendations. The role will ensure that project teams have clear visibility of milestones, resources, constraints, interfaces, and delivery requirements throughout the project lifecycle.

Key Responsibilities

  • Develop, maintain, and control detailed project and program schedules.
  • Establish scheduling strategies, standards, procedures, coding structures, and planning methodologies.
  • Develop baseline schedules aligned with approved scope, budgets, milestones, contractual requirements, and delivery objectives.
  • Translate project scope, work breakdown structures, deliverables, and contractual commitments into structured schedules.
  • Develop integrated master schedules covering engineering, procurement, construction, commissioning, operations, technology, and other project activities where applicable.
  • Establish activity sequences, logic relationships, durations, constraints, calendars, milestones, and dependencies.
  • Develop resource-loaded schedules where required.
  • Coordinate schedule development with project managers, engineering teams, contractors, consultants, procurement teams, and operational stakeholders.
  • Facilitate planning workshops to develop realistic activity sequences, durations, interfaces, and delivery assumptions.
  • Establish schedule calendars, coding structures, work breakdown structures, organizational breakdown structures, and reporting hierarchies.
  • Ensure schedules are logically linked, properly structured, and aligned with approved project execution strategies.
  • Review schedules submitted by contractors, consultants, vendors, and project partners.
  • Consolidate multiple schedules into integrated program or portfolio-level schedules.
  • Establish schedule baselines and manage approved changes through formal change-control processes.
  • Maintain current schedules through regular progress updates and status cycles.
  • Collect, validate, and incorporate progress information from project teams and workstream owners.
  • Verify reported progress against measurable physical deliverables and supporting evidence.
  • Monitor actual progress against planned progress, baseline schedules, and approved milestones.
  • Analyze schedule performance and identify deviations, trends, and emerging delivery risks.
  • Conduct critical-path and near-critical-path analysis.
  • Identify activities with limited float, potential slippage, and high schedule sensitivity.
  • Monitor total float, free float, constraints, lags, leads, and schedule-driving activities.
  • Identify schedule interfaces and dependencies between workstreams, contractors, suppliers, and functional teams.
  • Analyze the impact of delays, scope changes, resource constraints, procurement issues, and technical dependencies on overall delivery.
  • Develop schedule recovery strategies and recommend corrective actions for delayed activities.
  • Prepare recovery schedules, acceleration plans, mitigation plans, and alternative sequencing options.
  • Perform what-if analysis and schedule simulations to evaluate potential delivery scenarios.
  • Develop schedule forecasts based on actual progress, productivity, remaining work, resources, and current project conditions.
  • Maintain realistic forecast completion dates for key activities, milestones, and project deliverables.
  • Compare current forecasts with contractual, approved, and baseline dates.
  • Monitor schedule contingency, float consumption, and milestone confidence.
  • Track major project milestones, contractual dates, key deliverables, and critical interfaces.
  • Monitor engineering deliverables, procurement activities, manufacturing, logistics, construction, installation, testing, commissioning, and handover schedules as applicable.
  • Coordinate with Procurement and Supply Chain teams to incorporate supplier lead times, manufacturing schedules, inspections, shipping, and delivery dates.
  • Coordinate with Engineering teams to track design deliverables, technical reviews, approvals, and information requirements.
  • Work with Construction and Operations teams to monitor field activities, productivity, work fronts, access constraints, and operational interfaces.
  • Coordinate commissioning and handover schedules with construction completion, testing, documentation, training, and operational-readiness requirements.
  • Integrate contractor and subcontractor schedules into the overall project schedule.
  • Review contractor schedule logic, assumptions, productivity rates, resources, constraints, and forecast completion dates.
  • Identify inconsistencies, unrealistic assumptions, missing logic, excessive constraints, and potential schedule manipulation.
  • Monitor contractor schedule performance and provide recommendations to project leadership.
  • Establish schedule reporting cycles and ensure timely submission of schedule updates.
  • Prepare weekly, monthly, and ad hoc schedule reports for project and senior management.
  • Develop schedule dashboards covering progress, milestones, critical activities, float, delays, forecasts, and key risks.
  • Prepare schedule narratives explaining performance, major variances, critical-path movements, delays, and recovery actions.
  • Develop look-ahead schedules covering short-term priorities, constraints, interfaces, and upcoming milestones.
  • Facilitate weekly and monthly planning meetings and review schedule performance with stakeholders.
  • Track actions arising from schedule reviews and ensure responsible teams address identified constraints.
  • Maintain schedule risk registers and coordinate with project risk teams to link schedule risks with mitigation actions.
  • Conduct schedule risk analysis and support quantitative schedule-risk assessments where appropriate.
  • Evaluate schedule contingency and identify areas where additional time allowances may be required.
