Virtual Secretary for Women’s Christian Community

Zion Babes is seeking a highly organized, dependable, and proactive Virtual Executive Secretary / Operations Assistant to support the day-to-day functioning of a fast-growing, faith-based women’s community. This role is designed for someone who thrives on structure, consistency, and follow-through, and who understands the importance of clear communication, discretion, and supporting leadership behind the scenes. The Secretary will work closely with the leadership team to help manage schedules, track deadlines, organize documents, and ensure that weekly and monthly activities run smoothly. This includes maintaining calendars, preparing and updating to-do lists from meetings, following up on assigned tasks, and helping leadership stay aligned and on track. The role also involves supporting accountability systems and will initially require approximately 4–5 hours per week. Hours are subject to change and may increase as Zion Babes continues to grow. A key aspect of this position is organization and resource management. The Secretary will be responsible for keeping internal documents, folders, spreadsheets, trackers, and shared resources well organized and easy to access. This includes maintaining member lists, onboarding materials, and community resources such as shared playlists, workout links, and internal guides. Attention to detail is essential, as this role helps preserve order and continuity across multiple departments and initiatives. Communication support is another core responsibility. The Secretary will assist in drafting and scheduling announcements, coordinating meeting logistics, sending reminders, and supporting leadership with internal correspondence. While this role does not require public-facing leadership, it does require professionalism, clarity, and the ability to communicate respectfully and effectively in a faith-based environment. The ideal candidate is self-motivated, reliable, and able to manage multiple tasks without constant supervision. Strong organizational and time-management skills are critical, as is comfort using Google Workspace tools such as Docs, Sheets, and Drive. Experience as a virtual assistant, executive secretary, or administrative support professional is highly valued, but formal degrees are not required. Certificates or training in administration, project management, or virtual assistance are a plus. This is a part-time, remote position with flexible hours, initially estimated at 5–10 hours per week, with potential for growth as Zion Babes continues to expand.
