Virtual Front Desk / Client Experience Specialist (Part-Time, Remote)

At Tom’s Turf Cleaning, we are looking to add to our Virtual Front Desk staff. As the heartbeat of our day-to-day operations. You’ll be the first point of contact for customers across the U.S., helping them book services, answer questions, and stay on track with their turf cleaning and membership plans.

If you’re outgoing, organized, and thrive in a fast-paced, phone-heavy role—this is for you. Job is weekend & holiday coverage. Must be available Saturday, Sunday & Monday.

Role Overview

As our Virtual Front Desk / Client Experience Specialist, you’ll act as the “front desk” of the company—handling inbound and outbound calls, managing bookings, and supporting customers throughout their experience with us.

You’ll play a key role in driving customer satisfaction, maintaining our schedule, and helping grow our membership program.

Key Responsibilities

  • Provide outstanding, friendly, and professional customer service on every call
  • Handle a high volume of inbound and outbound calls daily
  • Book, reschedule, and cancel service appointments
  • Manage and optimize technician schedules across multiple service areas
  • Follow up with leads and existing clients to secure bookings
  • Promote and sell turf cleaning memberships to customers
  • Communicate clearly with field technicians and internal team members
  • Maintain accurate customer records and job notes in our CRM (Housecall Pro/ Go High Level)
  • Handle customer inquiries, concerns, and complaints with professionalism
  • Proactively identify opportunities to improve customer experience and retention
  • Represent Tom’s Turf Cleaning in a positive, upbeat, and professional manner at all times

What We’re Looking For:

Strong customer service mindset with a problem-solving attitude

Highly organized and able to multitask in a fast-paced environment

Comfortable with sales (upselling memberships, closing bookings)

Reliable, self-motivated, and able to work independently (remote role)

Tech-savvy with working knowledge of CRM systems and basic computer tools

Nice to Have

Previous experience in customer service, call centers, or admin roles

Experience with scheduling or dispatching

Familiarity with Housecall Pro or similar software

Sales experience (especially phone sales or memberships)

Work Details

Part-time, remote position (work from anywhere in North America)

Must be available Saturday, Sunday & Mondays. These will be standard work days. Shifts vary from daytime or early evening.

High call volume environment

Fully remote—must have reliable internet and a quiet workspace

Compensation

Hourly rate: $23 CAD/hour

Performance-based incentives may be available (booking + membership sales)
