Founded by a former Division I student-athlete and higher education executive, Until Next Time LLC empowers student-athletes, young professionals, and campus leaders to lead with intention, build strong relationships, and navigate key life transitions.

The Booking Coordinator will serve as the primary administrative engine for outbound growth, research, and calendar coordination. Working directly with the Lead Facilitator, you will identify high-potential campus events, state/national leadership conferences, and athletic department opportunities, initiating professional email outreach and coordinating discovery calls.

Core Responsibilities

Lead Research & List Building: Identify and compile contacts for student activities boards, campus lecture series, student-athlete development staff, and regional/national higher education conferences (e.g., NASPA, NACA, state leadership summits).

Outbound Email Execution: Tailor and send pre-approved email sequences to event organizers, campus programmers, and conference directors.

Inbox Triage & Lead Qualification: Monitor and manage the ⁠company inbox, responding promptly to inbound inquiries using established rate sheets and topic playbooks.

Calendar & Discovery Coordination: Schedule 15-minute discovery calls onto the Lead Facilitator’s calendar and ensure prospects receive pre-call materials (Speaker 1-Sheet, topic synopses).

Pipeline Tracking: Maintain an up-to-date log of outbound contacts, follow-up dates, active inquiries, and confirmed bookings in a shared spreadsheet/CRM.

Qualifications & Key Competencies

Industry Familiarity: Enrollment in or completion of a Higher Education Administration, Student Affairs, Sports Management, or related graduate program preferred (or equivalent experience in campus event programming).

Communication: Exceptional written English skills with a polished, professional email posture suitable for administrative and executive contacts.

Organization: High attention to detail with proven ability to manage spreadsheets, email sequences, and calendar scheduling without missing follow-ups.

Proactivity: Self-directed mindset capable of working independently around academic and personal commitments.
