Senior Administrative Assistant job at National Association of Insurance Commissioners - NAIC in Kansas City, MO

Title: Sr. Administrative Assistant Location: Kansas City Job Description: The Regulatory Affairs division of the National Association of Insurance Commissioners (NAIC) has an exciting opportunity for a Senior Administrative Assistant. This position provides comprehensive administrative and committee support to the Directors of Property & Casualty Regulatory Services and P/C Technical Advisory Services and their teams. Responsibilities include project coordination, meeting and document management, stakeholder communication, and support of NAIC committees, task forces, and working groups. This is a full-time hybrid position, in a positive and flexible environment. Residency within 100 miles of the Kansas City, Missouri office is required. Responsibilities Include Provide administrative support to the Directors of P/C Regulatory Services and P/C Technical Advisory Services, including calendar management, meeting coordination, project tracking, and cross-functional communication. Coordinate support for NAIC committees, task forces, and working groups, including scheduling, agendas, announcements, document posting, minutes, membership updates, and in-person or virtual meeting logistics. Manage departmental budgets, accruals, purchase card reconciliations, invoices, expense reports, participant reimbursements, and related financial tracking in alignment with internal processes. Prepare, edit, proofread, and format correspondence, reports, presentations, meeting materials, and other business documents with accuracy and attention to quality. Support rate review and data call processes, maintain access databases and member lists, and assist with operational initiatives and special projects. Serve as a resource for regulators, NAIC staff, commissioners, and external stakeholders by responding to inquiries, facilitating communication, and supporting strong working relationships.     Minimum Education and/or Experience Required Associate's degree and 7–10 years of progressively responsible administrative support experience or an equivalent combination of education and experience. Strong organizational, proofreading, and document management skills.   Preferred Experience: Experience supporting executives, committees, or cross-functional teams in a professional environment.   Systems & Technology Requirements Proficient with MS Word, Excel, Adobe, and Outlook. Knowledge of MS PowerPoint.   Travel This position does not require overnight business travel. Employees are responsible for their personal transportation to/from the home and office, including events, meetings, and training required by the NAIC.
