Senior Administrative Assistant, People and Culture

(1) Permanent Non-Unionized Opportunity - Bilingual Position

The Position:

The Senior Administrative Assistant, People and Culture provides administrative/clerical, analytical and systems support services to the People and Culture team, reporting to the Director of People and Culture. In this capacity the Senior Administrative Assistant, People and Culture responsibilities include:

Training Administration and Support

  • Run and analyze reports and conduct regular audits/reviews of all mandated training for employees, ensuring completion and compliance and:

    • Pull and file training attendance records, individual employee certifications, etc.

    • Undertake any related employee follow up accordingly.

  • Ensure the Human Resources Information System (HRIS) is updated regularly with mandatory training information from third-party vendors.

  • Register employees for internal and external training programs, including both mandatory and non‑mandatory sessions.

  • Support the tuition reimbursement processes by assisting with registration and expense payment submissions and documentation, ensuring compliance with internal Policies and Procedures.

  • Assist with the student placement and paid summer student recruitment and onboarding process

Recruitment and Staffing Support

  • Coordinate the scheduling of language assessments with third‑party vendors.
  • Draft employment‑related letters/correspondence throughout the employee lifecycle, including recruitment, onboarding, and employment status changes.
  • Responsible for completing the full cycle recruitment for all casual employees.
  • Maintains a tracking system and ensures timely follow up and notification of all contract extensions.

Reporting, Scheduling & Administrative Support

  • Assist with the scheduling and administration of compressed workweek arrangements through the HRIS.

  • Support P&C reporting requirements, including the preparation of monthly reports.

  • Handles both internal and external People and Culture related inquiries.

  • Maintains employee lifecycle documentation in the HRIS.

  • Conducts regular audits of employee personnel files to ensure accuracy, completeness, and compliance.

  • Research, format, and analyse reports/statistical data collection and administrative control procedures, as required.

Qualifications:

  • University degree in a field such as Human Resources or Business Administration, or a College Diploma in a related field with equivalent experience.

  • Certified Human Resources Leader (CHRL) designation is an asset.

  • Minimum two (2) years of experience within a Human Resources Department or a related field, including progressive responsibility in an administrative capacity or customer service environment.

  • Demonstrated ability to support and contribute to team effectiveness.

  • Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by people related to gender identity, gender expression and sexual orientation and then faced within the 2SLGBTQIA+ communities.

  • Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by Indigenous peoples and racialized communities.

  • Applies anti-racist, anti-ableist, anti-indigenous racism and anti-2SLGBTTQIA+ lenses to social problems.

  • Experience with a variety of computer applications including Office 365 and Human Resources Information Systems.

  • Strong interpersonal, organizational, and time management skills.

  • Ability to communicate in both official languages is required. Testing in reading, writing and speaking will be conducted.

Compensation & Benefits

  • Annual salary range: $56,301 to $69,047 commensurate with skills and experience.

Le poste :

L’adjoint(e) administratif(ve) principal(e), Personnes et culture, fournit des services de soutien administratif/clérical, analytique et de systèmes à l’équipe Personnes et culture, relevant du/de la directeur(trice) des Personnes et culture. À ce titre, les responsabilités comprennent :

Administration et soutien à la formation

  • Produire et analyser des rapports et effectuer des audits/révisions réguliers de toutes les formations obligatoires des employés afin d’assurer leur complétion et leur conformité, et :

    • Extraire et classer les dossiers de présence aux formations, les certifications individuelles des employés, etc.

    • Effectuer le suivi requis auprès des employés, le cas échéant.

  • S’assurer que le Système d’information des ressources humaines (SIRH) est mis à jour régulièrement avec les informations sur les formations obligatoires provenant de fournisseurs tiers.

  • Inscrire les employés aux programmes de formation internes et externes, incluant les formations obligatoires et facultatives.

  • Soutenir les processus de remboursement des frais de scolarité en aidant à l’inscription et à la soumission des dépenses et de la documentation, en assurant la conformité aux politiques et procédures internes de l’organisation

  • Aider au processus de recrutement et d’intégration des étudiants en stage et des étudiants d’été rémunérés.

Soutien au recrutement et à la dotation

  • Coordonner la planification des évaluations linguistiques avec des fournisseurs tiers.

  • Rédiger des lettres et de la correspondance liées à l’emploi tout au long du cycle de vie de l’employé, y compris pour le recrutement, l’intégration et les changements de statut d’emploi.

  • Être responsable du cycle complet de recrutement pour tous les employés occasionnels.

  • Maintenir un système de suivi et assurer les relances et avis en temps opportun concernant toutes les prolongations de contrat.

Rapports, planification et soutien administratif

  • Aider à la planification et à l’administration des aménagements d’horaire comprimé par l’entremise du SIRH.

  • Soutenir les exigences en matière de rapports de Personnes et culture, y compris la préparation de rapports mensuels.

  • Répondre aux demandes internes et externes liées à Personnes et culture.

  • Maintenir la documentation du cycle de vie des employés dans le SIRH.

  • Effectuer des audits réguliers des dossiers du personnel afin d’assurer leur exactitude, leur exhaustivité et leur conformité.

  • Effectuer des recherches, mettre en forme et analyser des rapports/des données statistiques et des procédures de contrôle administratif, au besoin.

Qualifications:

  • Diplôme universitaire dans un domaine tel que les ressources humaines ou l’administration des affaires, ou diplôme collégial dans un domaine connexe avec expérience équivalente.

  • Le titre de Conseiller(ère) en ressources humaines agréé(e) (CRHA/CHRL) est un atout.

  • Minimum de deux (2) années d’expérience au sein d’un service des ressources humaines ou dans un domaine connexe, incluant des responsabilités progressives dans un rôle administratif ou un environnement de service à la clientèle.

  • Capacité démontrée à soutenir et à contribuer à l’efficacité d’une équipe.

  • Connaissance et compréhension démontrées de la culture, de l’histoire et des oppressions actuelles vécues par les personnes en lien avec l’identité de genre, l’expression de genre et l’orientation sexuelle, ainsi qu’au sein des communautés 2SLGBTQIA+.

  • Connaissance et compréhension démontrées de la culture, de l’histoire et des oppressions actuelles vécues par les peuples autochtones et les communautés racialisées.

  • Applique des approches anti‑racistes, anti‑capacitâtes, anti-raciste envers les peuples autochtones et inclusives des réalités 2SLGBTTQIA+ aux enjeux sociaux.

  • Expérience avec divers logiciels, y compris Office 365 et des systèmes d’information des ressources humaines.

  • Excellentes compétences interpersonnelles, organisationnelles et de gestion du temps.

  • Capacité de communiquer dans les deux langues officielles requise. Des évaluations en lecture, écriture et expression orale seront effectuées.
