Position Overview

The Part‑Time Controller/Bookkeeper owns the company’s day‑to‑day financial operations and higher‑level financial oversight. This role combines hands‑on bookkeeping with controller‑level responsibilities, including tax compliance, CRA correspondence, internal year‑end completion, financial analysis, and strategic financial health guidance for ownership.

The position also manages customs clearance documentation for imported goods, ensuring compliance and smooth inbound logistics.

Key Responsibilities

  • Perform daily bookkeeping, including AP, AR, bank feeds, expense entries, and maintaining an accurate general ledger.
  • Manage full‑cycle accounting, including reconciliations, journal entries, and monthly close.
  • Implement new accounting software or tools as required, ensuring smooth migration and accurate data transfer.
  • Prepare monthly financial statements (P&L, balance sheet, cash flow) with clear variance explanations.
  • Maintain strong internal controls, ensuring accuracy, compliance, and proper documentation.
  • Oversee cash flow, forecasting needs and flagging issues proactively.
  • Coordinate payroll inputs and work with the payroll provider to ensure timely, accurate processing.
  • Complete year‑end, including preparing full financial statements, closing all accounts, generating supporting schedules, reconciling balances, and ensuring compliance with tax and reporting requirements.
  • Prepare and file all required tax returns, including HST, payroll remittances, corporate taxes (T2), corporate tax installments, and year‑end submissions.
  • Manage all CRA correspondence, including responding to notices, providing documentation, and resolving inquiries.
  • Support budgeting and forecasting, providing updated models and actionable insights.
  • Advise ownership on overall financial health, highlighting trends, risks, and opportunities.
  • Provide financial health guidance, offering data‑driven recommendations on profitability, cost control, pricing, and operational efficiency.
  • Evaluate and improve accounting processes, recommending practical, small‑business‑friendly enhancements.
  • Assist with ad‑hoc financial analysis, cost reviews, and operational reporting as needed.

Customs Clearance & Import Documentation

  • Prepare and submit customs clearance paperwork for inbound shipments in compliance with CBSA/CBP requirements.
  • Coordinate with customs brokers, freight forwarders, and carriers to ensure timely release of goods.
  • Verify HS codes, tariff classifications, and duty rates for all imported products.
  • Maintain organized records of commercial invoices, packing lists, bills of lading, and customs entry documents.
  • Provide internal visibility into shipment timelines, landed costs, and import‑related expenses.

Required Experience

  • 10+ years of bookkeeping and accounting experience, ideally in a small‑business environment.
  • Strong proficiency with QuickBooks, Xero, or similar accounting platforms.
  • Demonstrated experience preparing monthly financial statements and managing the close process.
  • Hands‑on experience with AP/AR, reconciliations, payroll coordination, and cash flow management.
  • Direct experience preparing small‑business tax filings (HST, payroll remittances, T2 corporate taxes, etc.).
  • Proven ability to manage CRA communications and resolve notices or inquiries.
  • Experience with customs documentation, HS codes, and coordination with brokers or freight forwarders.
  • Familiarity with Canadian tax compliance requirements for small businesses.
  • Solid understanding of GAAP and small‑business accounting workflows.
  • Strong Excel skills (lookups, pivot tables, basic modeling).
