Pugsley Court Agents Inc. is hiring two part-time Operations Coordinators to support our growing legal services operation.

This is a very busy, highly administrative role. PCA manages a large volume of active legal-service files, and the Operations Coordinator helps make sure new inquiries are handled quickly, active files keep moving, documents get to the right people, and nothing gets missed or left sitting.

We are looking for people who are fast, organized, dependable and able to learn new systems quickly.

This is not a role where you will be given one task at a time and wait for the next one. During your shift, there will almost always be something that needs attention.

What you’ll do

A major part of the role is handling new client intake. You will answer phone calls and emails, gather information about new assignments, provide standard pricing, prepare quotes, request missing information and help move confirmed files into our operations workflow.

You will also help monitor active files and keep them moving. This may include following up with process servers, checking files for missing updates, reviewing outstanding tasks, updating internal trackers and identifying files that need attention.

There is also a significant amount of document and administrative processing. You may be asked to cross-reference affidavits and service reports against our records, match documents to the correct file, return completed materials to clients, organize documents, prepare routine emails and review batches of files for missing information.

You will also support PCA’s management team with general administrative and operational tasks as they come up.

A typical shift could include

Answering new client calls, responding to intake emails, pricing new matters, opening files, following up with process servers, reviewing files that have not been updated, updating our tracker, sending completed affidavits to clients and working through administrative cleanup tasks.

The work moves quickly and priorities can change throughout the day.

You’ll be a strong fit if you

  • communicate professionally by phone and email;
  • are comfortable using spreadsheets, email and online business systems;
  • notice when information is missing or something does not look right;
  • take initiative instead of waiting to be given your next task;
  • are comfortable switching between different tasks throughout the day;
  • enjoy keeping things organized and closing loose ends; and
  • are dependable and consistent.

Previous legal or law-office experience is helpful, but it is not required.

Strong administrative ability, speed, reliability and willingness to learn are more important.

This role may not be a good fit if

You prefer working on one long project at a time, need frequent direction before starting your next task, or prefer a slower-paced work environment.

This is an unusually administration-heavy role. The successful candidate should genuinely enjoy being busy and getting through a significant amount of work during each shift.

Schedule

We are hiring two part-time employees.

Position 1
Monday to Thursday
8:00 a.m. to 12:30 p.m. Mountain Time

Position 2
Tuesday to Friday
1:00 p.m. to 5:30 p.m. Mountain Time

Each position is approximately 18 hours per week.

Applicants must be consistently available for one of the above schedules.

Compensation

$17.00 per hour

Approximately $612 gross bi-weekly based on the regular 18-hour weekly schedule.

There is an opportunity for increased hours, increased responsibility and potential full-time employment based on performance and business needs.

Location

This is a remote position.

Applicants must reside and perform their work in Alberta.
