Litigation Legal Assistant – Evening and Weekend Shifts

Job Description:

  • Serve as a reserve member of the litigation legal assistant team during absences, vacations, and peak periods
  • Handle urgent overflow work, priority tasks, and requests requiring prompt attention
  • Ensure deadlines are met and high standards of client service are maintained
  • Collaborate with legal assistants and lawyers to efficiently distribute workloads
  • Prepare, draft, revise, and format routine litigation documents and proceedings
  • Rigorously manage deadlines, record them in calendars, and keep schedules up to date
  • Prepare document drafts and review documents and correspondence
  • Open, file, monitor, and organize matter files
  • Manage communications, including telephone calls, emails, and other correspondence
  • Organize and coordinate meetings among lawyers, clients, and other stakeholders
  • Prepare files for meetings and hearings
  • Perform other duties as assigned

Requirements:

  • Diploma of Vocational Studies (DEP) in Secretarial Studies or a Diploma of College Studies (DEC) in Administration or Legal Studies, or an equivalent combination of education and experience
  • Minimum of 5 years of experience as a litigation legal assistant
  • Experience in a law firm required
  • Knowledge of legal terminology and procedural rules required
  • Familiarity with insurance law is an asset
  • Bilingualism required (French and English), with the ability to draft and communicate accurately and effectively in both languages
  • Excellent proficiency with Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook, at an intermediate or ideally advanced level
  • Strong ability to work in a computerized environment using a variety of software applications, with the ability to learn new technology tools
  • Knowledge of iManage is an asset
  • Ability to work remotely in a well-organized and productive manner
  • Rigor, strong attention to detail, and excellent organizational skills
  • Client-focused, with excellent teamwork and collaboration skills, tact, and discretion
  • Professionalism and the ability to maintain excellent interpersonal relationships
  • Ability to learn quickly, proactivity, and initiative
