Department: Administration

Position: Receptionist Clerk

                                     Weekdays 7:30am-3:30pm (75 hours a bi-weekly)

                                     Weekends and evening work may be required.

Status: Temporary Full Time

Date Required: ASAP

The Receptionist is responsible for providing secretarial, clerical and administrative support in

order to ensure that all services are provided in an effective and efficient manner.

RESPONSIBILITIES INCLUDE (but are not limited to):

  • Performs assigned duties in emergency situations as outlined in the Emergency Procedure Manual.
  • Greets and assists residents, visitors, and the general public.
  • Provides information as appropriate.
  • Accepts mail, parcels, and directs them to appropriate person or department.
  • Stamps outgoing mail and ensures delivery to mailbox/ post office.
  • Prepares packages for couriers and arranges appropriate delivery service for all departments.
  • Replenishes postage on the postage meter and orders supplies as necessary.
  • Assists residents with their mail and other requests.
  • Keeps telephone directory in the reception area current.
  • Reports unusual occurrences.
  • Completes general / miscellaneous typing and photocopying.
  • Makes long distance calls, as appropriate and maintains a log.
  • Transmits faxes for all departments and distributes all in-coming faxes.
  • Distributes complaint reports, employment and volunteer applications, medical and dental forms, etc., as requested.
  • Performs other duties as assigned.

EXPERIENCE & EDUCATION

  • Bilingual – English and Italian preferred
  • 2- 5 years Receptionist Experience
  • Minimum Grade 12 Education
  • Advance Computer skills in Microsoft Office applications, including Microsoft Outlook
  • Strong communication skills
  • Ability to learn new skills.
  • Ability to prioritize and organize competing demands.

  • Excellent organizational, observational, interpersonal and communication skills.
  • Ability to Multitask and Prioritize, strong documentation skills. Strong attention to detail.
  • Ability to demonstrate positive and pleasant demeanor. Able to handle difficult situations in a professional manner.
  • Ability to articulate and demonstrate resident safety strategies.
  • Ability to interact with seniors including those that are cognitively impaired.
  • Demonstrates skill in managing aggressive behaviour using client centered approach.
  • Ability to speak Italian an asset.
