Geotechnical Project Coordinator/Administrative Assistant

Your Opportunity

Stantec is seeking a Project Coordinator / Administrative Assistant to join our geotechnical team in the Edmonton, AB office. In this role, you will provide administrative, project coordination, and operational support to a team of engineers, technologists, and project managers. You will play an important role in supporting project delivery, business operations, client service, and team coordination across our geotechnical practice.

Your Key Responsibilities

Project Coordination and Administrative duties:

  • Provide day-to-day administrative support to local technical and leadership teams.
  • Coordinate travel arrangements and accommodation, including workspace management, equipment and office/lab supplies, as necessary
  • Prepare, review, and format reports, proposals, presentations, and project documentation.
  • Maintain electronic filing systems and project records.
  • Coordinate office meetings, workshops, training sessions, and client events
  • Assist project managers with project setup, execution, closeout, and document management activities.
  • Develop and maintain project management documentation and project tracking tools with guidance from project managers.
  • Assist with staff timesheet and expenses, as necessary.
  • Assist with project/lab billing, invoice preparation, and financial tracking.
  • Assist with proposal submissions, staff resumes/CV updates, and business development initiatives, with guidance from respective leads.
  • Support subcontractor administration, including onboarding, agreements, and documentation requirements.
  • Facilitate onboarding activities for new employees and project team members.
  • Support project HSSE documentation, including training records management, hazard assessments, work procedures, and project-specific safety documentation.
  • Promote a strong health, safety, security, and environment culture and actively participate in Stantec’s HSSE Program.

Your Capabilities and Credentials

  • Minimum 3 years of experience in an administrative, project coordination, or business operations role, preferably within an engineering, consulting, construction, or technical environment.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities and work effectively in a collaborative team environment.
  • Proactive problem solver with strong attention to detail.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, Teams, and SharePoint.
  • Experience with project management, financial, or enterprise systems is considered an asset.
  • Diploma or degree in business administration, project management, engineering technology, or a related field is an asset.
  • Desire to learn the geotechnical business and contribute to the success of a team.
  • Ability to live and work in Canada.
