Full-Charge Bookkeeper & Office Manager

We are looking for an experienced, capable, and upbeat Full-Charge Bookkeeper & Office Manager with a minimum of 5 years of hands-on bookkeeping and accounting experience.

This is a highly independent role. You will personally handle the full bookkeeping, payroll, financial administration, and office management workload. There is no accounting or administrative team supporting you.

We need someone who is comfortable taking complete ownership and ensuring everything is completed accurately and on time.

Responsibilities

  • Full-cycle bookkeeping from start to finish
  • Accounts payable and accounts receivable
  • Bank and credit card reconciliations
  • Payroll processing and payroll remittances
  • HST preparation and remittances
  • WSIB filings and remittances
  • Month-end and year-end bookkeeping
  • Preparing financial reports for management
  • Working directly with our external accountant
  • Reviewing supplier invoices, purchase orders, and packing slips
  • Monitoring vendor pricing and investigating discrepancies
  • Managing customer payments and outstanding receivables
  • General office administration and organization
  • Maintaining accurate financial and office records
  • Managing deadlines, filings, payments, and administrative responsibilities
  • Improving internal systems and procedures
  • Implementing technology, AI, and automation where appropriate
  • Troubleshooting problems and resolving them independently

What We Are Looking For

  • Minimum 5 years of bookkeeping/accounting experience
  • Strong full-cycle bookkeeping experience
  • Strong knowledge of QuickBooks Online
  • Canadian payroll experience
  • Experience with HST and government remittances
  • Strong Excel and computer skills
  • Must be highly proficient with AI tools and technology
  • Comfortable using AI to improve efficiency, automate tasks, research solutions, and streamline office and accounting processes
  • Strong overall technical skills and confidence learning new software, systems, and digital tools
  • Able to troubleshoot technical issues independently and find solutions quickly
  • Highly organized and detail-oriented

The Person We Are Looking For

This role is for someone who is comfortable being the sole person responsible for these functions.

You will not be managing a bookkeeping team or delegating the work to others. You will be the person actually handling the bookkeeping, payroll, reconciliations, remittances, administration, and office management.

We are looking for someone who can identify what needs to be done, prioritize tasks, solve problems, and take action without needing constant direction.

You should be technically strong and comfortable using AI as part of your everyday work. We want someone who looks for smarter and more efficient ways to get things done and is not afraid to learn or implement new technology.
