Financial Coordinator and Administrative Officer

<p>The TFA is the union representing approximately 1,000 faculty, librarians and Professional Counsellors at Toronto Metropolitan University.</p><p>We are seeking to fill a part-time position of Financial Coordinator and Administrative Officer in an active union office located at Toronto Metropolitan University (formerly Ryerson) downtown Toronto campus. The appointment has an anticipated start date of December 1, 2026 or later.</p><p><strong>Position Information</strong></p><p><em>Position Type</em>: Part-time Continuing (with probationary period)</p><p><em>Compensation</em>: Salary and benefits will be commensurate with the successful candidate’s qualifications, experience, and the scope of the part-time appointment.</p><p><em>Equity and Inclusion</em>: The TFA encourages applications from qualified candidates from equity-seeking groups including: women, members of racialized groups, Indigenous people, persons with disabilities, gay, lesbian, bisexual, transgendered, two-spirited and/or queer. Candidates are invited to self-identify in their letter of application.</p><p><strong>Position summary</strong></p><p>Reporting to the TFA President and in consultation with the TFA Executive and its staff, the Financial Coordinator and Administrative Officer is responsible for carrying out on a daily basis the financial affairs of the Association. The primary role of this position is to liaise with the TFA Treasurer in carrying out financial duties that include day to day accounting, accounts payable, payroll, financial schedules, release-time and expense reimbursements, and preparation of financial reports and budgets. The Financial Coordinator and Administrative Officer also liaises with the Toronto Metropolitan University’s Office of the Vice Provost, Faculty Affairs where necessary. Financial administration also includes monitoring, reconciling and administering all bank accounts, Canada Revenue Agency, Ministry of Finance and WSIB accounts, and performing monthly accruals.  Additional administrative duties include supporting the Office Manager, when necessary to monitor email, respond to or appropriately direct inquiries, scheduling and tracking meetings and room bookings, arranging catering, updating the membership database, mailings, ordering office supplies, and reception.</p><p><strong>Duties</strong></p><p>In collaboration with the TFA Executive:</p><ul><li>Performs bookkeeping, accounting, banking, cash-handling</li><li>Ensures payments of bills, invoices, dues, affiliated organization fees, health and dental premiums of its retired members, service contracts, etc. are completed accurately and in a timely manner</li><li>Notifies the TFA Treasurer on financial matters or recommendations on TFA By-law compliance and Toronto Metropolitan University related process compliance on financial matters and impacts, including but not limited to membership fees referenda results, service contracts, fee increases and/or other financial changes.</li><li>Performs general phone and messaging duties</li><li>In conjunction with the TFA Treasurer, monitors the TFA’s cash flows, bank accounts, general ledger and financial security of the organization</li><li>In conjunction with the TFA Treasurer, sources, recommends, and monitors TFA’s financial assets and investments</li><li>Performs bank reconciliations and adjusts journal entries as needed.</li><li>Performs monthly reconciliations </li><li>Ensures adherence to Generally Accepted Accounting Principles (GAAP)</li><li>Helps identify, research, and consult on TFA internal controls, practices and procedures</li><li>Assists and serves as staff resource to the TFA Treasurer in development of the TFA’s budgets, such as research, trend analysis, forecasting, inputting, presenting.</li><li>Prepares and presents financial reports and financial statements as required</li><li>Makes preparations for, and supports the annual fiscal audit process as directed</li><li>Conducts and completes bookkeeping/accounting software data-entry to ensure accuracy</li><li>Maintains accurate financial records and balanced general ledger</li><li>Maintains accurate petty cash records and controls</li></ul><p><strong>Qualifications and Skills</strong></p><ul><li>A demonstrated commitment to union principles and understanding of unions, not-for-profit and/or membership driven organizations budgets and finances</li><li>A  demonstrated commitment to equity</li><li>Familiarity with the higher education sector</li><li>Post-secondary degree and a minimum of three years' full-time work experience (or its equivalent) in accounting and administrative support</li><li>High attention to detail and administrative skills</li><li>Ability to think quickly, analyze complex communication issues and develop a timely and appropriate response</li><li>Self-starter, independent and takes initiative</li><li>Strong interpersonal and written and verbal communication skills</li><li>Strong organizational, problem-solving, time-management, and prioritizing skills in a multi-task environment</li><li>Familiarity with reporting and/or preparing audits</li><li>Understanding of key bookkeeping and financial concepts and processes</li><li>Familiarity with QuickBooks or similar software</li><li>Excellent written and technical communication skills, including proficiency in MS Word, PowerPoint, and preparing print and electronic publications</li></ul><p><strong>NOTE: We would like to thank all applicants in advance for their interest in this position; however, only those candidates selected for an interview will be contacted.</strong></p>
