Executive Assistant (Home-Based / US Hours)

We are looking for a motivated and organized Executive Assistant to support our leadership team. This is a unique growth role designed for someone who wants to move beyond basic administration and learn how a business operates from the inside out.

You will work directly within the CEO’s office and receive hands-on mentorship from the Executive Admin Team Manager. This position is perfect for a proactive professional who is eager to build a career in executive support and operations. We aren't just looking for someone to manage a calendar; we’re looking for someone who wants to learn, grow, and eventually take on higher-level responsibilities.

Employment Details

  • Employment Type: 6-Month Fixed-Term Contract (with potential for regularization based on performance)
  • Compensation: ₱25,000 – ₱30,000 Monthly
  • Work Arrangement: 100% Home-Based / Remote (Philippines)
  • Schedule: Monday – Friday | 8:00 PM – 5:00 AM PHT (Graveyard Shift)
  • Holiday Observance: Follows the U.S. Stock Market Holiday Calendar
What You’ll Do
  • Calendar & Coordination: Manage complex schedules, coordinate meetings, resolve booking conflicts, and ensure leadership stays on track with their priorities.
  • Inbox and Communication: Assist in filtering emails, flagging urgent messages, and drafting professional responses to ensure no communication falls through the cracks.
  • Travel and Logistics: Own the entire travel experience for leadership. Manage visa requirements, synchronize ground transport, handle time-zone transitions, and build comprehensive itineraries. You will be the point person for real-time troubleshooting (e.g., flight delays or last-minute changes).
  • Project Tracking: Keep an eye on ongoing projects, track action items across teams, and proactively follow up with team members to ensure deadlines are met.
  • General Support: Prepare meeting agendas, reports, and presentation decks.
  • Executive Correspondence: Draft, proofread, and manage high-level communications. You will learn to mirror the CEO’s voice, ensuring all internal and external emails are professional, concise, and reflect the company’s standards.
  • Process Improvement: Help us keep things organized by suggesting better ways to manage files, tasks, and daily workflows.
  • Confidentiality: Manage sensitive business information and confidential files with the highest level of integrity.

JOB REQUIREMENTS

  • Willing to work a schedule aligned with U.S. Stock Market holidays.
  • Bachelor’s degree holder.
  • Excellent written and verbal English communication skills.
  • Strong interpersonal and professional communication skills.
  • Proficient in Microsoft Office and Google Workspace tools.
  • Working knowledge of MS Outlook Calendar and Google Calendar.
  • Highly organized, detail-oriented, and able to manage multiple priorities.
  • Self-motivated, proactive, and eager to learn.
  • Able to work effectively both independently and as part of a team.
  • Comfortable in a fast-paced, high-accountability environment.
  • Prior administrative or secretarial experience is an advantage, but not required.
