Key Accountability (Main purpose of this job):

The Admissions and Project Coordinator plays a pivotal role in advancing our global education initiatives. The successful candidate will spearhead the administration and strategic expansion of the Maple Leaf exchange program. This highly project-based position serves as the primary admissions and administrative bridge connecting the leadership of our Maple Leaf campus in China, prospective and current families, students, and international educational partners.

A core mandate of this role is to drive and maximize student enrollment targets within a strategic 6-to-12-month timeline. The coordinator is responsible for cultivating a seamless, culturally responsive, and meticulously organized admissions and educational exchange ecosystem.

Responsibilities (Key areas of responsibilities):

1. Stakeholder Liaison & Communication

  • Serve as the primary point of contact between the China Maple Leaf head quarter admission office, Maple Leaf school Principals, international families, students, and China Maple Leaf educational agents and other educational agents, in particular in the PRC.
  • Facilitate clear, culturally aware, and timely communication regarding exchange program requirements, curriculum requirements & expectations, and student progress.
  • Conduct presentations, school tours, and Q&A sessions for prospective exchange students and their parents, both virtually and in person.
  • Manage relationships with China Maple Leaf headquarters and campus admission offices, external education and recruitment agents, ensuring they have up-to-date program information and marketing collateral.
2. Exchange Program Project Management
  • Lead and support the end-to-end planning and execution of student exchange intakes (e.g., orientation weeks, visa coordination, student on boarding and cultural integration events).
  • Develop and maintain project timelines, ensuring all academic, administrative, and pastoral departments are aligned before students arrive.
  • Track and report on project milestones, enrollment data, and agent performance to the Principals and Admissions Director.
  • Identify bottlenecks in the exchange student journey and proactively design solutions to improve the student and parent experience.
3. Admissions & Enrollment Operations
  • Process applications for the exchange program, ensuring all academic transcripts, visas, vaccination records, and other compliance documents meet international and school standards.
  • Maintain accurate and confidential student records within the school’s CRM/admissions database.
  • Coordinate with the academic team to schedule student assessments and interviews with the Principals.
4. Arrival Logistics & Pastoral Onboarding
  • Coordinate and execute airport meet-and-greet services for newly arriving exchange students and their accompanying families, ensuring a warm and reassuring first impression of the school.
  • Facilitate the physical settlement and transition of students into the Oldham Hall and other designated student halls, assisting with logistics, room assignments, and initial orientation to boarding life.
  • Act as the primary liaison between the school, the parents, and the Oldham Hall during the critical first weeks of arrival to troubleshoot any pastoral, cultural adjustment issues, or facility concerns.
  • Be the key coordinator for parent concerns, issues and communication needs.
Required Qualifications and Experience:
  • Minimum Bachelor degree in any discipline.
  • Experience in the international school sector will be beneficial.
  • Full professional proficiency in both English and Mandarin Chinese (written and spoken) is required to effectively communicate with the China campus and parent community.
  • Fully proficient in using Google Workspace.
  • Ability to converse in another language will be an added advantage.
