Administrative Assistant - Travel and Expense Operations Support

Join a vibrant team that combines creativity, innovation, and the latest technology to push the boundaries of storytelling.We are currently seeking a talented Administrative Assistant to provide crucial support to our global Travel and Expense team, alongside the Finance Program Management Executives, based at our Los Gatos, CA office. This role operates on a hybrid schedule and is instrumental in facilitating corporate travel and expense operations for our diverse initiatives.The ideal candidate will be proactive, self-driven, and adept at managing a variety of tasks simultaneously.

We value strong organizational skills, keen attention to detail, and a flair for planning engaging team events and activities. This dynamic, fast-paced position requires excellent judgment and a high level of initiative.Key Responsibilities:Manage the calendars of 2-4 executives, organizing meetings and securing conference room space, while also arranging various events.Coordinate travel arrangements for both domestic and international trips, including handling passport renewals and visa requests.Oversee logistics for team and cross-functional offsite activities by collaborating with hotels and vendors for accommodations, catering, flights, A/V needs, and transportation.Efficiently process expense reports and ensure accuracy.Assist in onboarding processes for new team members.Maintain a professional demeanor in communications with internal and external stakeholders.Support special projects and ad hoc requests, including the preparation of presentations and management of spreadsheets and organizational charts.Qualifications:5years of experience as an Executive or Administrative Assistant.Previous experience in executive support preferred.Detail-oriented with exceptional organizational abilities.Strong written and verbal communication skills.Experience in organizing events effectively.Capability to manage multiple priorities efficiently.Proficiency in Google Workspace:Gmail, Google Calendar, Google Docs, Google Groups; familiarity with MS Word and Excel is a plus.Ability to handle confidential information discreetly.Skilled in prioritizing tasks with urgency and responsiveness.A supportive team player who thrives in a fast-paced environment.The compensation for this role is hourly, with no bonuses. Employees have the flexibility to balance their hourly pay and stock options annually.
